LEAD EVENT COORDINATOR
(CO-COORDINATOR)
OVERVIEW
We're looking for a skilled and dependable Lead Event Coordinator to join our team in a Co-Coordinator capacity. This role is perfect for someone who can confidently take the lead on event days when the founder is not present, and also work collaboratively as a Co-Coordinator when the founder is onsite. You’ll be responsible for managing timelines, overseeing logistics, guiding assistant coordinators, and ensuring every detail runs smoothly.
THE DETAILS
Start Date: ASAP
Open Position: 1
Location: Must be based in Toronto or the Greater Toronto Area
Compensation: $25–$30/hour (based on experience)
Trial Period: 3 months, event-based (paid, performance-based review for continued placement)
Schedule: Part-time, event-based. You'll only be scheduled when events are confirmed, with advance notice and based on your availability. Most events take place on weekends, with occasional weekday bookings.
Transportation: Access to a reliable vehicle is strongly preferred, as event locations vary across the GTA
Hours: Vary based on event schedule. Most events range from 8–10 hours/day
WHAT YOU’LL DO
Lead coordination of weddings and events (when the founder is not present)
Co-coordinate and support the founder during events where the founder is leading
Manage day-of event timelines, vendors, and logistics
Assist in timeline creation and contacting vendors
Supervise and delegate tasks to Assistant Coordinators
Communicate professionally with clients, vendors, and venue staff
Help resolve any on-site challenges calmly and efficiently
Attend pre-event meetings, walkthroughs, or rehearsals when required
WHAT WE’RE LOOKING FOR
Minimum 2 years experience coordinating and/or executing a variety of events
Experience in Google Workspace preferred (Gmail, Google Docs, Google Sheet, Google Calendar)
Comfortable toggling between leadership and support roles depending on the event
Excellent problem-solving and time-management skills
Excellent oral and written communication skills and ability to engage with clients
Able to work long shifts on your feet and under pressure
Available on weekends (especially during the busy season of May to October), with some weekday flexibility
Based in the GTA with reliable access to transportation (a personal vehicle is a strong asset)
Not currently operating a business or planning to start one within the next 3–5 years

ASSISTANT COORDINATOR
OVERVIEW
As an Assistant Coordinator, you’ll help bring event-day visions to life by supporting the Lead Coordinator and ensuring all details run according to plan. This is a great opportunity to gain hands-on experience in weddings and events with a supportive team.

Compensation: $20/hour (with the opportunity to grow)

WHAT YOU’LL DO
Review event timeline in advance to understand the flow of the day
Assist with event setup, decor placement, vendor coordination, and guest experience
Support timeline execution and problem-solving on the day of the event
Help with teardown and closing responsibilities
Be a key team player who can jump in wherever needed
Maintain professionalism and client care throughout the event
Attend pre-event meetings, walkthroughs, or rehearsals when required
WHAT WE’RE LOOKING FOR
Experience or strong interest in weddings, events, or hospitality
Experience in Google Workspace preferred (Gmail, Google Docs, Google Sheet, Google Calendar)
Excellent oral and written communication skills and ability to engage with clients
Positive, reliable, and able to adapt in dynamic environments
Available on weekends (especially during the busy season of May to October), with some weekday flexibility
Based in Toronto or surrounding GTA, with access to transportation (preferred)
Not currently operating a business or planning to start one within the next 3–5 years
